WHAT PERSONAL DATA DO WE PROCESS AND WHAT DO WE USE IT FOR?

Below, we describe per activity which personal data we process, for what purpose we use that data, and what processing basis we use for the relevant processing. WHOSE PERSONAL DATA DO WE PROCESS AND HOW DO WE OBTAIN THIS DATA
We process the personal data of customers who have had direct or indirect contact with us. We receive the personal data directly from you when you visit our website, create an account and enter certain data, or when you contact our customer service. In some cases, we receive your data from others. For example, when someone places an order as a gift and has it shipped directly to you; in that case, we receive your name and address. We may also receive personal data from other parties, but only if you have given those parties permission to share certain data with us.

WHAT DATA DO WE PROCESS FROM YOU AND HOW LONG IS IT STORED WHEN YOU PLACE AN ORDER WITH US
For each order you place with us, we process the following personal data:

•    Delivery address (street, house number, postal code, and city)
•    Billing address (street, house number, postal code, and city)
•    Phone number

•    IP address (retention period 30 days)
We process this data to process your orders and to answer any questions about your order.
The legal bases we use are the performance of the contract we have concluded with you and compliance with our legal obligations, such as our legal record-keeping requirements. We are legally required to retain order data (such as invoices and other accounting documents) for 7 years.

WHEN YOU CREATE AN ACCOUNT
To make ordering easier, you can choose to create an account on our webshop. When you create an account, we process the following personal data:

•    First and last name
•    Addresses entered in the address book
•    Orders you place
•    Reviews you leave
•    Phone number
•    Email address
We process this data to process your orders and to answer any questions about your order. We use your orders and reviews to gain insight into your preferences for our products.
You can choose to save your credit card details when placing an order. This way, you can reuse the same credit card without re-entering all the details. Stored credit card details can be viewed and managed in your account.
The bases we use are the performance of the contract and compliance with legal obligations. We use your orders and reviews based on legitimate interest to simplify transactions and understand customer product preferences, helping us adjust our product offerings accordingly.
After you delete your account, we only retain your data if we are legally required to. Otherwise, your account details are deleted immediately (except for order data such as invoices, which we must retain for 7 years).

WHEN YOU CONTACT OUR CUSTOMER SERVICE
We have a customer service team to answer questions and resolve issues. You can call, email, chat, or message us via social media such as Facebook and Instagram.
To help you efficiently, we store the following personal data:
•    First and last name
•    Email address (if you email us)
•    Phone number (if you call us)
•    Notes about the customer interaction
•    IP address (if you chat with us)
Phone calls may be recorded for training and analysis purposes. At the beginning of the call, you are informed that the call may be recorded, the purposes of such recordings, and the intended recipient. You have the right to object and to request access to such recordings. We have a legitimate interest in using these interactions to improve our services. Call recordings are retained for 3 months.
If you ask a question via social media, we store that data alongside existing information we have about you. This allows us to respond better and more personally to your inquiry. Questions submitted to customer service are stored for 6 months.

WHEN YOU REVIEW OUR PRODUCTS
We value reviews to improve our products and help other customers. When you leave a review, it is evaluated based on food regulation criteria, and you agree that we may contact you regarding your review. We process:

We conduct surveys among customers who order from us. We work with marketing partners under processor agreements. We process at minimum:

Raiva Sports does not sell your personal data and only shares it with third parties involved in fulfilling your order, like PostNL for deliveries. We may also share data with partners that help us with:

We take many organizational and technical measures to secure your data. Our in-house specialists work daily to secure systems and fix vulnerabilities. Strict access control ensures that only necessary staff can access your data. We regularly test security via external experts. If we share data with others, we require them to handle it with the same care, and always sign a processor agreement.
